Your arrival, planned
Book an airport ride that fits your trip
Start with your hotel address, arrival time and the people and bags traveling with you. Then compare a private transfer with the airport’s public transport and official taxi options using the full door-to-door journey.
Which option suits you?
Prebooked private transfer
Families, several bags, late arrivals or a specific hotel drop-off.
Before choosing: Compare the complete vehicle quote, included waiting, child seats and exact pickup instructions.
Official taxi or ride app
Travelers who want to decide after landing and have a working phone or access to the official taxi rank.
Before choosing: Check the authorized pickup point, queue, fare basis and vehicle size before accepting the ride.
Train or airport bus
Solo travelers and light packers with accommodation near a useful stop.
Before choosing: Count every traveler’s ticket, transfers, the final walk and the service schedule for your arrival.
For example, Heathrow offers Heathrow Express, the Elizabeth line and the Piccadilly line. The most useful option depends on your actual destination, including the onward connection. Compare your address against Heathrow’s official rail routes before pricing a car.
Compare the group total
Use this calculation with your live quotes: all passenger tickets + the connection to your hotel + any luggage or seat extras. Compare that with the private vehicle’s total, including requested extras. A low per-person fare can look different once you price the whole group.
Illustrative example: four $15 train tickets and a $20 onward taxi total $80. An $85 private-car quote would cost $5 more for the group, if it includes everything you need. These are example numbers, not fares for a particular airport. Add the time and effort of changing vehicles to your decision.
Have these details ready before booking
- The exact airport and destination. Use the airport code, arrival terminal if known and the hotel’s street address. Some cities have several airports and hotels with similar names.
- Flight number and local arrival date. An overnight flight may land the next calendar day. Follow the booking form’s instructions for flight arrival versus pickup time.
- Everyone and everything riding. Count children as passengers and list suitcases, strollers, sports equipment and mobility aids. Ask for the specific child seats or accessible vehicle you need before paying.
- The waiting and cancellation policy. Check when waiting begins, what is included, how a delay is handled, extra charges and the cancellation deadline in the stated time zone.
- A reachable phone number. Include the country code. Save the voucher, meeting point and contact details offline before departure.
Kiwitaxi lists passenger and luggage capacity by car class and recommends confirming bulky items with support. Its voucher contains the meeting instructions; its airport pickup guidance places the meeting after passport control and baggage claim. See Kiwitaxi’s transfer FAQ.

When your flight or pickup changes
Send the dispatcher or provider your booking reference and updated arrival details as soon as you know them. Do the same if baggage collection takes longer than expected. Keep the confirmation in your messages and ask where to meet if the terminal changes. Flight tracking does not replace the waiting conditions in your booking.
If you cannot find the driver, follow the voucher and contact the dispatcher before arranging a replacement. Keep any correspondence and receipts so the provider can review what happened.

Airport transfer questions
Is a private airport transfer always cheaper than a taxi or train?
No. Compare the live total for your whole group and route. Include onward transport, luggage and requested extras, then decide whether the pickup arrangement and direct journey justify the difference.
How much luggage fits in a transfer car?
Use the capacity stated for the quoted vehicle. Passenger seats do not tell you how much trunk space is available. Confirm oversized items, strollers and mobility equipment with the provider before booking.
Will the driver wait if my flight is delayed?
Check your booking’s included waiting time and delay policy. Contact the provider using the voucher with your new arrival details; do not assume that every delay or extra wait is included.
